Schedule settings reference

C
Written by Customer Success

Every event-wide schedule setting, what it does and its default. Per-session options (gating, registration, ratings, sponsors) are in each session's editor, not here.

Before you start

  • You need to be an organization admin or an event admin.

  • The Settings tab exists only while Use schedule is on. When the schedule is off, Content > Schedule shows the Set-up the event schedule page instead.

  • Each switch and selection saves as soon as you change it ("Saved"). Text fields have their own Save button.

Where to find it

Content > Schedule > Settings in the admin panel. The page has eight sections in this order: General, Visibility settings, Appearance, Track, RSVP, Session ratings, Chat, Data export. The menu on the right jumps to a section; it lists Appearance before Visibility.

See Turn the schedule tab on or off.

Off for a new event; on once you activate the schedule

Import schedule data

Opens the CSV import dialog (Import .csv). See Import and export the schedule from a CSV file.

100 %

Card design: Tags / Custom field

What the small label on a session card shows: the session's Tags (under Default) or the values of one session custom field (under Custom fields). If the chosen custom field is deleted later, session cards show no tags and no custom field label. The admin panel then shows Tags, but the event still uses the deleted field. To show tags again, choose any custom field, then choose Tags.

Setting

What it does

Default

Button

What it exports

Schedule data > Export .csv

All sessions and networking slots as one CSV file.

Session traffic data > Export .zip

Who opened the Watch now link of each session that has a Stream/Video Url. Each session has 2 CSV files: session-interactions.csv (one row per click) and session-visitors.csv (one row per attendee). Fails with "Traffic analytics not found. Traffic analytics is available only for sessions that have a stream URL." when no session has one. See Read a session's traffic analytics.

Session rating data > Export .zip

Ratings of every session with Enable ratings on, one CSV per session. With more than 1 session, the zip also has one CSV with the ratings of all sessions.

Bookmarks data > Export .csv

Attendees who bookmarked any session.

All registrants (RSVP) > Export .zip

Confirmed and attended registrations, one CSV per session that has any. Pending, waitlisted and rejected registrations are left out. See Manage session registrations.

What attendees see

  • Schedule (or the name your organizer gave it) opens in the default view, density and scale you set. The sliders button in the schedule header opens Settings with Mode, Scale and Density. In the mobile app, Reset to event defaults in the ⋯ menu of that screen restores your values. The web app opens the settings without a header and has no reset option.

  • Session cards show tags, or the custom field you chose under Card design.

  • With Enable chat on, the session page shows the chat entry "Got a thought or question? Share it here." and an Open chat button.

The mobile app and the web app behave the same.

Limits

  • Rename "Track": up to 10 characters.

  • Default schedule scale: 50 to 200 %, in steps of 25.

  • RSVP status texts: 1 to 50 characters each.

  • Turning Use schedule off is not a toggle you can flip back here. Reactivation happens on the Set-up the event schedule page.

Troubleshooting

The Settings tab is missing
Use schedule is off. Open Content > Schedule, choose a layout and select Activate schedule.

Attendees don't see the schedule but My Schedule is there
Show "Schedule" view + sessions in search is off. Turn it on.

A track with sessions is missing in the app
The track is disabled in Tracks, or every session in it is gated to lists the attendee is not in. Hide empty tracks then hides the track for that attendee.
