Networking > Settings holds the event-wide switches for meetings, chat, lead scanning and who appears in the People list. Switches save when you turn them. Text and number fields have their own Save button. The admin panel confirms with "Networking settings updated successfully".

Before you start

Where to find it

Networking > Settings in the admin panel. The page has five sections: Meetings, RSVP - meeting conflict handling, Managed meetings, Chat & lead scanning and People. The list on the right jumps to a section.

What Meeting slots controls

With Meeting slots on, attendees pick a time slot when they suggest a meeting, block times they are not available, and reschedule meetings. Networking slots show in the schedule.

With Meeting slots off:

  • Networking slots are hidden from the schedule in the app.

  • Suggest meeting stays on attendee profiles, but there is no time slot picker. The request is sent without a time.

  • Blocked times and the availability step while joining are hidden.

  • Reschedule is hidden in the meeting menu.

  • Group meetings is hidden on this page.

Creating a networking slot in Content > Schedule > Timeslots while the switch is off shows "Enable meeting slots?". Selecting Enable meeting slots turns the switch on.

Overflow alert

  1. Select Edit message. The Overflow alert drawer opens with a preview.

  2. Enter the Message text. The field is required and takes up to 80 characters.

  3. Select Save changes.

The message appears in the chat of an accepted meeting when all of these are true:

  • The slot's networking area uses meeting points.

  • The meeting has no meeting point and no custom location.

  • The reader does not attend virtually, and the event is not virtual.

You can also edit it from a networking area's form with Edit overflow alert text. Saving shows "Overflow alert message updated".

RSVP - meeting conflict handling

The section has two switches. While Prevent overlaps between RSVPs and meetings is on, a dropdown appears between them.

Setting

What it does

Default

Prevent overlaps between RSVPs and meetings

Attendees can't book a meeting during a session they registered for, and can't register for a session that overlaps a meeting. Only Confirmed and Attended registrations block a meeting; waitlisted, tentative and rejected ones don't.

Off

Meeting types considered by the RSVP and meeting overlap validation (dropdown)

Which meetings are checked: Self-arranged and managed, Self-arranged meetings only or Managed meetings only. Shown only while Prevent overlaps between RSVPs and meetings is on.

Self-arranged and managed

RSVP and meeting conflicts blocked for draft meetings

Draft managed meetings also count as conflicts. When off, a draft is checked only when you confirm it. Has no effect while Prevent overlaps between RSVPs and meetings is off.

Off

A blocked booking fails with the error "The requester or receiver is registered for a session that overlaps with this meeting."

Allow rescheduling and cancelling of managed meetings

Participants can reschedule and cancel organizer-arranged meetings in the app. When off, the meeting menu hides Reschedule, Cancel meeting, Invite others and Change location for those meetings.

On

Draft meetings affect attendee availability

Time slots used by draft meetings show as unavailable to attendees. When off, attendees can book those slots until the drafts are confirmed.

Off

Managed meetings section with the label field and the two switches

Chat & lead scanning

Setting

What it does

Default

Open chat

Attendees can start a chat with each other without a meeting. Profiles show a Chat button. When off, attendees can only send meeting requests.

On

Lead scanning

Attendees and sponsors can collect contacts by scanning QR codes. Each list also has its own Lead scanning permission.

Off

With Open chat on, the Chat button on a profile is active only when the other person has networking on and can receive requests from the viewer. Otherwise the app shows "<first name> is not available for networking".

Use Open chat for introductions before meeting, questions outside a scheduled slot, or follow-up after a conversation. Include a prompt to use it in your attendee communications.

People

Setting

What it does

Default

Show registrants

The People list and search include people who were added to the event but haven't joined. Their card reads "<First name> hasn't joined the app yet." with a Notify me when they join button.

Off

Hide people with networking restrictions

Removes people from the People list and search when networking is off for them, or when the viewer and the person can't exchange meeting requests under their list permissions. The Your matches tab excludes them even when this is off.

Off

A registrant who hasn't joined appears only when their first name, last name and company are filled in. In a hybrid event, Show registrants also adds an Attendance type filter to the People list.

Chat and lead scanning and People sections

Limits

  • Group meeting limit accepts 2 to 100. Set the maximum you need instead of leaving the field empty. The apps can limit how many people attendees add even when the event limit is higher.

  • Overflow alert: 80 characters. Label for admin-created meetings: 22 characters.

  • The settings apply to the whole event. There are no per-list versions of them.
