Manage session registrations

See who has registered for your sessions, approve or reject requests, mark who attended, register attendees yourself, remove registrations and export the lists.

Before you start

  • You need to be an organization admin or an event admin.

  • A session takes registrations only when Enable registration (RSVP required) is on in its Preferences tab. Require RSVP approval and Waitlist mode are set there too. See Define session capacity and track RSVPs.

  • You can register only people who are already registrants of the event, including registrants who have not joined yet.

  • Warning: Deleting a registration can't be undone.

Where to find it

  • All sessions: Content > Schedule > Registrations in the admin panel.

  • One session: Content > Schedule > Timeslots, select Edit on the session, then the Registrations tab. The tab appears once the session is saved with RSVP on. Its name shows the number of registrations in every status, for example Registrations (12).

Registration statuses

  • Tentative: the registration waits for your approval, in a session with Require RSVP approval on. In a session with Waitlist mode on, it waits on the waitlist and shows as Waitlisted.

  • Confirmed: the attendee has a seat. In a session's Registrations tab it shows as Registered.

  • Attended: you marked the attendee as present. The seat stays taken.

  • Rejected: you rejected the registration, or Brella could not give a seat to a pending or waitlisted registration.

Only Confirmed and Attended registrations take a seat and count toward the session's Capacity.

How it works

  • Every registration bookmarks the session for the attendee, so it appears in their My Schedule. This includes Tentative registrations.

  • When a session reaches its capacity, Allow registrations via app switches off automatically. When a seat frees up again, it switches back on. With Waitlist mode on, it stays on and new registrations join the waitlist.

  • When a seat frees up in a session with Waitlist mode on, Brella confirms the first person on the waitlist.

  • Registrations you add in the admin panel are accepted while Allow registrations via app is off, but never above the capacity. They can use the seats reserved for integrations. In a session with Waitlist mode on, registrations you add while people are on the waitlist join the end of the waitlist instead.

  • In a session with Require RSVP approval on, registrations you add also start as Tentative. Approve them to give the attendees their seats.

  • If Prevent overlaps between RSVPs and meetings is on under Networking > Settings, you can't register or confirm an attendee who has a meeting at the same time.

  • Registrations you add or approve are not checked against Allow overlapping RSVPs or against Who can access this slot?. You can register an attendee for two sessions at the same time, and for a gated session they are not allowed to see. In that case the registration and the bookmark exist, but the attendee still can't see the session in the app.

  • Brella sends no email. It sends the attendee a push notification in these cases:

    • You approve a Tentative registration: "Your RSVP confirmed".

    • You reject a Tentative registration: "Your RSVP not confirmed".

    • Brella confirms the attendee from the waitlist: "A seat opened up".

  • Adding, deleting and marking as attended send no notification.

  • Because the session is bookmarked, attendees with a registration get the session reminder push notification before the start, like other bookmarkers.

See all registrations

  1. Open Content > Schedule > Registrations. The title shows the total count.

  2. Use Search by name or email.

  3. Select Filters to narrow by Session (sessions with RSVP on; empty means all), Status or RSVP date range.

  4. Select an attendee's name to open their profile.

The table shows the Session (title, start time, "Capacity: N / M"), the Registrant, the RSVP time in the event's time zone, the Status and Delete. In "Capacity: N / M", N counts Confirmed and Attended registrations. Sessions without a capacity show "Capacity: N / 0".

Waitlisted registrations are not listed on this page. See them in the session's Registrations tab, under Waitlisted.

Approve, reject or mark as attended

One registration

Select the registration's Status tag and choose the new status. On the Registrations page:

  • Tentative can become Confirmed or Rejected.

  • Confirmed can become Attended or Rejected.

  • Attended can become Confirmed or Rejected.

  • Rejected can become Confirmed.

In a session's Registrations tab, Registered can become Attended, Attended can become Confirmed, and Tentative can become Confirmed or Rejected. Waitlisted and Rejected tags can't be changed there.

Brella confirms with "Registrations updated".

Several registrations

On the Registrations page:

  1. Tick the registrations.

  2. Select an action:

    • Approve: confirms the ticked Tentative and Rejected registrations and skips the others. It is grayed out when none of them can be approved.

    • Mark as attended: sets every ticked registration to Attended. Tentative and Rejected registrations get a seat at the same time.

    • Reject: confirm with Yes.

If some registrations could not be changed, a warning says "N registrations updated, N could not be updated" with the first reason.

Rules for status changes

  • Confirming a registration, or marking a Tentative or Rejected one as attended, needs a free seat for attendees: the capacity minus the seats reserved for integrations. If the session doesn't have enough seats for all selected registrations, nothing changes and Brella shows "This session is full".

  • If Prevent overlaps between RSVPs and meetings is on, an attendee with a meeting at the same time can't be confirmed. The reason is "The registrant has a meeting that overlaps with this session."

  • Rejecting a registration frees its seat. On the Registrations page you can change a Rejected registration back to Confirmed if a seat is free.

  • Changing Attended back to Confirmed clears any check-in time recorded through the API.

  • Waitlisted registrations change only automatically. Brella confirms them in queue order when seats free up.

  • Integrations can read and set statuses through the Brella Core API. See the reference at docs.brella.io.

Add registrations

  1. Select Add registration(s), on the Registrations page or in a session's Registrations tab.

  2. On the Registrations page, choose the Session. The list shows only sessions with RSVP on, with "Capacity: N / M" and "Full" when no seat is left. In a session's own tab, the session is preselected.

  3. Use Search by name or email to find attendees.

  4. Tick the attendees to register. Attendees already registered are dimmed, with the tooltip "Already registered for this session". Registrants without a name, usually those who have not joined yet, show "Not joined yet".

  5. Check the capacity line: "N slots left", "Session is full" or "N too many selected". It counts Confirmed and Attended registrations.

  6. Select Register N registrants.

Add registration(s) drawer with a session chosen, attendees ticked and the capacity message

Brella confirms with "N attendees registered". If some could not be registered, a warning says "N attendees could not be registered" with "Some attendees may already be registered for this session."

In a session with Require RSVP approval on, the registrations you add start as Tentative. Approve them to give the attendees their seats.

Delete registrations

  • One at a time: select Delete in the row and confirm with Yes.

  • Several at once, on the Registrations page: tick the rows and select Delete, then confirm with Yes.

Deleting a registration frees its seat. The session stays bookmarked for the attendee. In a session with Waitlist mode on, Brella then confirms the first person on the waitlist.

Export registrations

  • All sessions: select Export registrations (.csv) on the Registrations page, or open Content > Schedule > Settings > Data export > All registrants (RSVP) and select Export .zip. Brella emails you a zip with one CSV per session that has registrations.

  • One session: select Export registrations (.csv) in the session's Registrations tab. Brella emails you a zip with the CSV file.

  • The files list Confirmed and Attended registrations only. Tentative, waitlisted and rejected registrations are left out.

  • Columns: RSVP time, Name, Email, Company name, Title, Ticket type list. Times are in the event's time zone.

Limits

  • Confirmed and attended registrations can't exceed the session's Capacity. Approvals can't use the seats reserved for integrations.

  • Deleting a registration can't be undone.

Troubleshooting

"N attendees could not be registered"
Each attendee was already registered, the session filled up, RSVP was turned off for the session, or the attendee has an overlapping meeting while Prevent overlaps between RSVPs and meetings is on. Check the session's Preferences and capacity.

"This session is full" when you approve or mark as attended
The session has fewer free seats than the registrations you selected. Select fewer registrations, reject or delete other registrations, or raise the Capacity in the session's Preferences.

Approve is grayed out
All ticked registrations are Confirmed or Attended. The tooltip reads "Only registrations waiting for approval or rejected can be approved".

The Register button is disabled
No session or attendee is selected, or more attendees are selected than seats left ("N too many selected"). Deselect some attendees or raise the Capacity in the session's Preferences.

A session is missing from the Session list
The session has Enable registration (RSVP required) turned off. Turn it on in the session's Preferences.

A waitlisted attendee is missing from the Registrations page
The page doesn't list waitlisted registrations. Open the session's Registrations tab and select Waitlisted.
