Limit a sponsor's accepted meetings

Written by Customer Success

Set a maximum number of accepted meetings for a sponsor's whole team of representatives. Once the team reaches it, representatives can't send new meeting requests, and nobody can accept a meeting with them until a slot frees up or you raise the limit.

Before you start

  • You need to be an organization admin or an event admin. Sponsor admins can't see or change Networking Rules.

  • Link the sponsor's representatives to the booth. All representatives of the booth share one limit.

  • Warning: With the limit on, every representative of the booth can see all of the company's meetings. The admin panel says: "Once meeting capping is enabled, all sponsor reps can view company-wide meetings. Ensure reps are added securely to prevent unauthorized access to meetings from other companies." Only link people who are allowed to see those meetings.

Where to find it

Sponsors > Sponsors, select the sponsor's name, then Edit Details > Networking Rules in the admin panel.

Turn on the limit

  1. Open Sponsors > Sponsors and select the sponsor's name.

  2. Select Edit Details. The Update sponsor drawer opens.

  3. In Networking Rules, turn on Limit accepted meetings.

  4. In Maximum accepted meetings, enter a number of 1 or more. The field is required while the switch is on.

  5. Select Update.

To remove the limit, turn off Limit accepted meetings and select Update. Brella clears the number.

Edit the message representatives see

Representatives can open an explanation of the limit in the app. You write one message for the whole event, shared by every sponsor with a limit.

  1. In Networking Rules, with Limit accepted meetings on, select Edit info message text. The Meeting cap info message drawer opens.

  2. Enter a Title, up to 100 characters. It is required.

  3. Enter a Description, up to 1,000 characters.

  4. Select Save changes.

The message saves when you select Save changes, separately from Update. Until you save a message, the app shows Brella's default text.

How the limit works

  • Brella counts accepted meetings in which a representative of the booth is the requester or the receiver. A meeting between two representatives of the same booth counts once.

  • Pending requests don't count. If an accepted meeting is cancelled, it stops counting.

  • At the limit, representatives can't send new meeting requests.

  • At the limit, nobody can accept a meeting request that has a representative of the booth on either side. Attendees can still send requests to representatives; the requests stay pending.

  • Raising Maximum accepted meetings, or a cancelled meeting, frees slots at once.

  • If a representative is linked to several booths, the limit of the booth they were linked to first applies to them.

  • Sponsors > Sponsors shows the progress in the Meetings column, for example 12 / 20.

How it combines with list limits

  • The booth limit replaces Limit meeting requests sent from the representative's lists. That list limit doesn't apply to representatives of a booth with a limit.

  • Limit confirmed meetings from the representative's lists still applies to each representative. A representative can't accept more meetings than their own lists allow, even if the team has slots left. The app shows representatives no personal limits, only the team limit.

What representatives and attendees see

Representatives:

  • On Home, a My company meetings card with the sponsor's logo, name and category, Accepted meetings with the count and the limit, and a progress bar. The card also shows Accepted, Pending and Cancelled counts. With one slot left it says "Your team is close to the meeting limit." At the limit it says "Your team has reached the meeting limit." Otherwise it says "Learn more about the limitation". Each of these opens your message. Selecting the card opens Company connections.

  • In the Networking tab, a Company connections tab next to My connections, with all of the company's meetings.

  • On other attendees' profiles, a banner with the slots left, for example "3/20 meetings remaining", or "Your team hit the limit of meetings." at the limit, with Learn more. At the limit, the profile has no Suggest meeting button.

  • If they try to accept a meeting at the limit: "This meeting couldn't be confirmed" with "You've reached the maximum number of accepted meetings." and Show company meetings.

If a representative is linked to several booths, the app shows the card, the banner and Company connections for one booth only.

Attendees:

  • When an attendee tries to accept a request from a representative whose team is at the limit, the meeting isn't confirmed. The app says the representative "has reached the meeting limit for this event" and offers Send message with a prefilled text.

Limits

  • One limit per booth, shared by all its representatives.

  • One info message per event, shared by all sponsors.

  • Representatives can't raise the limit. Only an organization admin or an event admin can change it.

Troubleshooting

A representative can't accept a meeting, but the team has slots left
The representative reached Limit confirmed meetings from their own lists. Check the representative's lists under People > Lists.

Representatives see each other's meetings
This is how the limit works. Every representative of a booth with a limit sees all company meetings in Company connections.
