Link representatives to a booth

Written by Customer Success

Representatives are attendees linked to a sponsor's booth. Brella links them automatically by company name, email domain or a registrant custom field, or you add them by hand on the booth's Representatives tab.

Before you start

  • You need to be an organization admin or an event admin to change linking settings or add representatives. Sponsor admins can remove representatives from their own booth in the admin panel but can't add them.

  • The booth in the app shows only representatives who have joined the event. Invited registrants can be linked before they join; the admin panel table lists them with "Not joined yet" under Joined the event.

  • Automatic linking adds people. It never removes anyone.

  • Warning: removing a representative also removes the leads they scanned from the booth's Scans tab and exports. Adding them back restores the leads.

Where to find it

  • Linking settings: Sponsors > Sponsors > [sponsor] > Edit Details > Booth Control in the admin panel.

  • Manual linking: Sponsors > Sponsors > [sponsor] > Representatives in the admin panel.

Choose how representatives are linked

  1. Open Sponsors > Sponsors and select the sponsor.

  2. Select Edit Details.

  3. Under Booth Control, turn on Automatic linking.

  4. In Linking method, choose one of the methods described in the next section.

  5. Fill in the fields the method needs.

  6. Select Update.

Saving a change to the company name, the Automatic linking switch, the linking method, the domains or the custom field rule links every joined attendee who matches and is not yet a representative of any booth.

Note: a new sponsor is created with Automatic linking on and Partial match, even though the switch in the Create sponsor drawer shows off until you touch it. Open Edit Details after creating the sponsor to see and change the actual setting.

Linking methods

Partial match (default). Links attendees whose company name starts with the booth's company name. Example booth name: ABC. Company ABC links. Company ABC Ltd links. With booth name ABC Ltd, company ABC does not link. Keep booth names short for this method.

Exact match. Links attendees whose company name equals the booth's company name. Company ABC does not link to booth ABC Ltd.

Domain match. Links attendees whose email domain, the part after @, equals one of the domains in Email domain(s). Enter domains such as abc.com, separated by a space or a comma. abc.com does not match mail.abc.com. The company name is ignored.

Custom field. Links registrants whose answer to a registrant custom field matches one of your values. Choose the field in Custom field, add values in Value(s), and for text fields choose Match: Is exact or Includes. For choice fields, pick the options to match. "Matching is not case sensitive. A registrant is linked when any of the values match." Up to 25 values, each up to 1,000 characters. Only organizers can choose this method.

All methods ignore case and spaces around the value. For invited registrants who have not joined yet, Brella uses the company and email from the invitation. For a joined attendee whose company field is empty, Brella uses the company from their invitation.

When automatic linking runs

Brella checks for matching booths when:

  • You create a sponsor or change its name or linking settings.

  • An attendee joins the event.

  • An attendee changes their profile or their custom field answers.

  • You create, import or update an invitation under People.

  • A sponsor admin joins the event. They are added to the first booth they manage that has Automatic linking on.

  • You give a sponsor admin access to a booth while they have already joined the event. They are added to that booth at once, whatever its linking settings. Removing the access removes them from the booth.

If a sponsor admin is not linked automatically, add their registration by hand.

Rules that apply every time:

  • A person is linked automatically to one booth at most. Someone who is already a representative of any booth is skipped, even if their company changes later. Use manual linking to add a second booth.

  • If several booths match, the booth created first wins. Company name and domain methods are checked before custom field methods.

  • Automatic linking stops once the event has ended.

Add representatives by hand

  1. Open Sponsors > Sponsors and select the sponsor.

  2. Open the Representatives tab.

  3. Select Add representatives.

  4. Search for the attendee and tick the checkbox on their row. People already linked to this booth are greyed out.

  5. Select Add.

Manual linking has no limit on the number of representatives per booth. One person can be a representative of several booths.

The drawer warns: "Members of default Attendees groups will be moved to the corresponding default Sponsors groups." Linking and unlinking re-evaluates the person's registrant list membership.

Remove a representative

  1. Open the sponsor's Representatives tab.

  2. Select Remove at the end of the row.

  3. Confirm "Are you sure you want to remove this representative?".

Sponsor admins can do this too, from Booths.

Removing a representative does not stop automatic linking. If the person still matches a booth's rule, they are linked again the next time linking runs, for example when they edit their profile. To keep them off the booth, also change the booth's linking rule, turn off Automatic linking, or ask the person to correct their company name.

Export the representative table

Select Export (.csv) on the Representatives tab. The file downloads at once. It lists each representative with the date they joined the event, the date they were added, and their meeting and open chat counts.

What attendees see

  • Representatives appear in the booth section named after the booth's Representatives tab (default Representatives) as a row of attendee cards with the count in the title. After 5 cards a Show all button opens the full list.

  • The section is hidden when the booth has no joined representatives and for attendees whose registrant list has networking turned off.

  • Representatives are listed in the same order as the People list. You can't set their order.

  • When Sponsors > Settings > Booth > Show booth links in profile is on, a representative's profile shows a button with the booth's logo, name and category.

  • A representative can scan leads when the booth's Lead scanning is on, and their meetings count toward the booth's meeting cap when one is set.

Limits

  • Automatic linking: one booth per person, booth created first wins, nothing after the event has ended.

  • Custom field rule: 1 registrant custom field, up to 25 values, 1,000 characters per value. Choice fields take only their existing options.

  • Only organizers can choose Custom field. Sponsor admins don't see Booth Control.

Troubleshooting

A representative is linked to the wrong booth
Remove them from that booth, then add them to the right one by hand. Check the wrong booth's name and method: with Partial match, a short booth name such as ABC also catches ABC Networks.

Nobody is linked although the method matches
The person is already a representative of another booth, or the event has ended. Check the other booths' Representatives tabs.

A removed representative keeps coming back
Their profile still matches a booth rule. Change the rule, turn off Automatic linking for that booth, or have them correct their company name.
