Set up meet-at-booth and booth links

Meet-at-booth lets sponsor representatives hold their 1:1 meetings at the sponsor's physical booth instead of the networking area. Show booth links in profile adds a button to each representative's profile that opens their booth. Both are event settings under Sponsors > Settings > Booth.

Before you start

  • You need to be an organization admin or an event admin.

  • Meet-at-booth is available for in-person and hybrid events. Virtual events don't show the switch.

  • Only representatives (attendees linked to a booth) can choose the booth as a meeting location.

  • The first time you turn Meet-at-booth on, it is turned on for every category and every sponsor of the event. After that, the category and sponsor switches keep their own values.

Where to find it

  • Event switches: Sponsors > Settings > Booth in the admin panel.

  • Per category: Sponsors > Categories, column Meet-at-booth.

  • Per sponsor: Sponsors > Sponsors > [sponsor] > View > Edit Details > Booth Control > Meet-at-booth.

Turn on meet-at-booth for the event

  1. Open Sponsors > Settings and scroll to Booth.

  2. Turn on Meet-at-booth ("Allow sponsors to set their on-site booth as a meeting location."). Brella shows "Changes saved successfully."

  3. Optional: in Rename "Booth", enter another word for "booth", up to 20 characters, and select Save. Brella shows "Booth term updated".

Sponsors Settings, Booth section with Show booth links in profile, Meet-at-booth on and the Rename “Booth” field

Rename "Booth" appears only while Meet-at-booth is on. The term replaces "booth" wherever the apps show it: the default Visit booth button text, the booth's location name, the location list when a representative picks a meeting time, and the meeting sheets.

To turn Meet-at-booth off, select the switch and confirm Apply changes in the dialog "Disabling Meet-at-booth". Sponsors can't schedule new meetings at their booths. Meetings already scheduled there are not changed, and the category and sponsor settings are kept for when you turn it on again.

Choose which categories and sponsors can use it

Per category

  1. Open Sponsors > Categories.

  2. In the Meet-at-booth column, select the switch of a category.

  3. Confirm Apply changes in the dialog "You may override some settings".

Changing a category sets the same value on every sponsor in that category, replacing their individual settings. While the event switch is off, the column is disabled with the tooltip "Meet-at-booth is disabled for this event".

Per sponsor

  1. Open Sponsors > Sponsors, select View on the sponsor, then Edit Details.

  2. Under Booth Control, turn Meet-at-booth on or off ("If enabled this sponsor booth can be used for networking meetings.").

  3. Select Update.

The switch is shown only when the event switch is on and the sponsor's category is not switched off. Sponsor admins have the same switch on their booth's Engagement tab, under the text "Your representatives can use the booth for networking meetings.". A change on either side updates the same setting and shows "Sponsor updated successfully".

Show booth links in representative profiles

  1. Open Sponsors > Settings and scroll to Booth.

  2. Turn on Show booth links in profile ("Display a button to visit the relevant sponsor booth on sponsor representatives' profile."). Brella shows "Changes saved successfully."

A representative linked to one booth gets the button without any action from them. A representative linked to several booths must pick one: on their Account screen, under Event settings, they open the row "Partner representative?" and choose a booth in the sheet "Choose partner". The word "partner" comes from the event's sponsors name, which has no field in the admin panel (default "Partners"); it does not follow the name you gave the Sponsors page. Until they pick one, their profile shows no booth button.

What attendees see

When the event switch, the category switch and the sponsor switch are all on, a representative of that sponsor can:

  • Pick the booth when choosing a time for a meeting request or a reschedule: in the time slot list, open Filters and select "<Sponsor> booth" (or your term) under Location.

  • Pick the booth in the sheet "Where would you like to meet?", which opens when they accept a meeting request. The text reads "You can hold this meeting at your booth or at the suggested networking area." In events without meeting slots it says "custom location" instead of "networking area".

  • Select Change location in the menu of a pending, accepted or rescheduled meeting to move it to the booth or back.

Booth meetings don't count against the networking area's table capacity. Every booth has a location named "<Sponsor> Booth", created with the sponsor; renaming the sponsor renames the location.

With Show booth links in profile on, an attendee who opens a representative's profile sees a button with the booth logo, name and category. Selecting it opens the booth.

Limits

  • Meet-at-booth: in-person and hybrid events only.

  • Only the sponsor's own representatives can propose their booth. Attendees can't choose another sponsor's booth.

  • Rename "Booth": 20 characters. One term for the whole event.

  • A representative shows one booth on their profile, even when linked to several.

Troubleshooting

A representative does not see the booth as a location
Check the three switches: event (Sponsors > Settings > Booth), category (Sponsors > Categories) and sponsor (Edit Details > Booth Control). Also check that the person is on the booth's Representatives tab.

The Meet-at-booth switch is missing from Booth Control
The event switch is off, or the sponsor's category is switched off. Turn those on first.

Rename "Booth" is not shown
It appears only while Meet-at-booth is on.

A representative linked to several booths has no booth button
They have not picked a booth yet. They choose one on their Account screen under Event settings.
