How permissions work when someone is on several lists

Every registrant is on exactly one ticket type list and can be on any number of custom lists. When those lists disagree, one rule decides permissions and another decides content access.

Before you start

  • You need to be an event admin or an organization admin.

  • Lists live under People > Lists, in the Ticket type and Custom sub-tabs.

Where to find it

  • Permissions: People > Lists > Ticket type or Custom > open a list > Permissions & access.

  • Custom list priority: the row order in People > Lists > Custom, or Priority order in a custom list's Settings tab.

Permissions override

For each permission, Brella checks the registrant's custom lists first, from priority #1 down, then the ticket type list. The first list that has a value decides. Lists lower in the order are ignored for that permission.

  • The custom list at the top of the Custom table is priority #1. Drag rows to reorder, or enter a number in Priority order in the list's Settings. The list header shows "Priority 2 of 5 custom lists".

  • New custom lists are added at the bottom of the order.

  • On custom lists every permission can be Not set. Not set means "use the person's other lists". New custom lists start with everything Not set.

  • Ticket type lists have no Not set. Toggles are On or Off, meeting request directions are Anyone / Specific lists / None, caps are No limit / Limit to…. New ticket type lists start with Enable networking, Lead scanning, Show QR code and Show invites in app on, meeting requests to and from Anyone, and no caps.

  • The ticket type list decides whenever no custom list sets the permission.

Permissions that follow this rule:

  • Enable networking

  • Allow sending requests to and Allow receiving requests from

  • Limit meeting requests sent and Limit confirmed meetings

  • Lead scanning

  • Show QR code

  • Show invites in app (editable on ticket type lists only, and only while Show invites in Brella apps is on in People > Settings)

  • Attendance type (hybrid events)

The profile badge attendees see on a profile comes from the person's ticket type list. Custom lists have no Profile badge section.

Content and communications add up

Content limited to lists is available to a registrant if any of their lists has access. This covers sessions, custom pages, stories, featured tiles, streams, announcements, custom emails and pitch reel uploads. A communication sent to several lists reaches each person once. You set this access in each content area; the Content & Communications access section links there with Manage buttons.

Meeting requests between lists

A meeting request goes through only if both sides allow it:

  • the requester's Allow sending requests to is Anyone or includes one of the receiver's lists, and

  • the receiver's Allow receiving requests from is Anyone or includes one of the requester's lists.

None blocks that direction completely. Specific lists with no lists selected works like None. The admin panel then shows "Select at least one list, or choose None." Both people also need Enable networking on and must not have opted out of networking.

Attendance type

In hybrid events each list, ticket type or custom, has a required Attendance type (In-Person, Virtual or Hybrid). New custom lists start as In-Person. In in-person and virtual events the field is hidden and new lists get the event's type.

  • Attendance type follows the same override rule: a custom list's attendance type replaces the ticket type list's for its members. The registrant's Joined user tab in the admin panel shows the resolved value under Attendance Type.

  • The app uses the resolved attendance type to pick the time zone for the attendee's meetings. In-Person uses the event time zone; Virtual and Hybrid use the attendee's own time zone.

  • The Attendance type line on a profile in the app shows the ticket type list's Profile badge, not the resolved attendance type.

  • The Attendance type filter attendees use on the People page (hybrid events with Show registrants on) matches the ticket type list only. A registrant whose custom list changes their attendance type still appears under their ticket type list's attendance type in that filter.

If you change the event type in Details, Brella moves the ticket type lists to the new type. It skips this when none of the lists it would change has members. Custom lists keep their old attendance type and still override the ticket type list for their members. Outside hybrid events the Attendance type field is hidden, so you can't change a custom list's attendance type in the admin panel.

Setting

What it does

Default

Priority order (custom list Settings)

Rank among custom lists. #1 wins conflicts.

New lists go to the bottom

Not set (custom list permissions)

Defers to the person's other lists.

All custom list permissions

Hide people with networking restrictions (Networking > Settings > People)

Hides people whose resolved permissions block networking or meeting requests with the viewer from the People page and search, even where the app would otherwise list them.

Off

What attendees see

  • Networking resolves to off: the Networking tab is hidden and the People tab shows "Sorry, networking unavailable" with "This restriction may be set by the event organizer."

  • Lead scanning resolves to off: the scanner shows "Sorry, QR code scanning is unavailable".

  • Show QR code resolves to off: the My Code sub-tab is hidden.

Limits

  • Sponsor representatives follow their booth for lead scanning: a representative of a booth with lead scanning on can scan even if their lists resolve to Off, and the reverse.

  • For sponsor representatives of a booth with Limit accepted meetings on, the booth limit replaces Limit meeting requests sent. Limit confirmed meetings from their lists still applies to each representative, although the info icon next to Limit confirmed meetings says the booth limit overrides it. The app shows representatives no personal limits, only the team limit. See Limit a sponsor's accepted meetings.

  • Lead scanning also needs the event-level Lead scanning switch (Networking > Settings > Chat & lead scanning) and networking on for the person.

Troubleshooting

An attendee can't send a meeting request to someone
Check both people. The sender's Allow sending requests to and the receiver's Allow receiving requests from must both allow it, and both must have networking on.

A custom list setting is ignored
A higher-priority custom list sets the same permission. Move your list up, or set the other list to Not set.

Someone can't open content you gave to a custom list
Check the content item's own visibility settings through Manage. Content granted by any list stays available; list permissions don't remove it.
