Review who engaged with a sponsor's sessions

Written by Customer Success

The Sessions tab of a sponsor lists every attendee who has a seat in or bookmarked a session the sponsor is added to, with their interests, identity and meetings with the sponsor's representatives. You can export the table and decide whether the sponsor admin sees it.

Before you start

  • You need to be an organization admin or an event admin.

  • The sponsor must be added to at least one session. Do this in the session editor under Content > Schedule, Sponsors tab. See Add sponsors to a session.

  • Only attendees who have joined the event appear. Invited registrants who have not joined are left out.

Where to find it

Sponsors > Sponsors > [sponsor] > Sessions in the admin panel. The card is titled Sponsored session engagement.

Column

What it shows

Registrant

The attendee's name and picture with their details

One column per sponsored session, titled with the session name

A Bookmark tag, an RSVP tag, or both, for that session

Intents & Interests

The attendee's matchmaking intents and interests

Identity

The attendee's persona, industry and function, when set

One column per registrant custom field exposed to sponsors

The attendee's answer. Only fields with Expose to Sponsors / Exhibitors are included

Meeting with reps

The attendee's meetings in this event with the sponsor's joined representatives, one badge per meeting status with a count. Draft meetings are left out. Hover to see the representatives' names

How the rows are computed:

  • An attendee is listed when they have a seat (RSVP) or a bookmark on at least one session the sponsor is added to. Each counts once per session.

  • An RSVP counts when the registration is confirmed or marked attended. Registrations that wait for approval, are on the waitlist or were rejected don't count.

  • A session column appears for every session the sponsor is added to, even when nobody has engaged with it yet.

  • Meeting with reps counts every networking meeting in this event between the attendee and a current joined representative of the booth, whatever its status. Draft meetings don't count. Removing a representative removes their meetings from the column.

Export the table

  1. Select Export Data (.csv). Brella shows "Your CSV export will be delivered by email shortly."

  2. Open the email "<event name>, report of sponsored session registrants". The CSV is attached as a zip file.

The file has one row per attendee with these columns: First Name, Last Name, Email, Job Title, Company Name, one column per sponsored session (rsvp, bookmark or both), Operates In, Matchmaking Interests, the identity columns, Meetings with Reps (representative name and meeting status) and the custom fields exposed to sponsors. Sessions with the same title get the session ID added to the column name.

Let the sponsor admin see the data

  1. Open Sponsors > Sponsors, select View on the sponsor, then Edit Details.

  2. Under Sponsored Session Data, turn on Show leads.

  3. Select Update.

Update sponsor drawer, Sponsored Session Data section with the Show leads switch and the Admin Only tag

The section is tagged Admin Only and hidden from sponsor admins. Sponsor admins see the Sessions tab in Booths > [booth] only when the sponsor is added to a session. Until Show leads is on, the tab is grayed out with the tooltip "This data is visible when the event organizer has assigned your company to sponsor one or more sessions and has enabled this feature." and the export is empty.

What attendees see

Attendees don't see this table. The booth shows a Sessions section (or the name you gave it) with the count and a card for each session the sponsor is added to and the attendee is allowed to see.

Limits

  • The table and the export include joined attendees only.

  • Custom field columns are limited to registrant fields exposed to sponsors.

  • The export is emailed. It is not downloaded in the browser.

Troubleshooting

The Sessions tab is empty
The sponsor is not added to any session, or nobody has a confirmed seat in or bookmarked its sessions yet. Check the session editor's Sponsors tab.

The sponsor admin says the Sessions tab is grayed out
Show leads is off for that sponsor. Turn it on under Edit Details > Sponsored Session Data.
