Add a venue map and link sessions and booths to it

Give attendees a venue map and a networking area map in the mobile app and the web app. With an ExpoFP floor plan, the map is interactive, and sessions and sponsor booths can open it at the right room or stand.

Before you start

  • You need to be an organization admin or an event admin.

  • Maps is hidden for virtual events.

  • For an image map: JPEG or PNG preferred, 1920 x 1080 (16:9) recommended, up to 5 MB after cropping.

  • For an interactive map: an ExpoFP floor plan for your event, with an address like https://<your-plan>.expofp.com/. ExpoFP is a separate product. To get an ExpoFP floor plan, ask your Brella contact.

Where to find it

  • Customization > Maps in the admin panel.

  • Session map link: Content > Schedule > Timeslots, open a content slot, field Map Url.

  • Sponsor map link: the Map Link column of the sponsor CSV import, or the map-link field in the Core API. The sponsor form has no map field.

Add the maps

  1. Open Customization > Maps.

  2. Under Venue map, choose a Map view: Don't show anything, Image or Embed web page (URL).

  3. For Image, under Venue map image, select Click to add image, choose a file, crop it to 16:9 and select Ok.

  4. For Embed web page (URL), enter the address in Web page URL. It must start with http:// or https://. For an interactive map, enter your ExpoFP address.

  5. Under Networking area map, repeat the same choice. Attendees open this map from their accepted meetings.

  6. Select Save changes. If the event is in progress, confirm with Apply changes. The message "Maps were updated successfully" confirms the save.

To remove a map, choose Don't show anything and select Save changes.

If the same floor plan covers the venue and meeting area, you can use it for both maps. For additional maps, such as parking or a second building, create an event info page with an image or a website link. Give each page a clear name so attendees know which map to open.

Link a session to a place on the map

  1. Open Content > Schedule > Timeslots and open the content slot.

  2. In Map Url, enter the map address for the session's room, for example https://<your-plan>.expofp.com/?Hall%20B.

  3. Save the slot.

The text after ? names the booth or exhibitor to select on the map. It must match the name or the external ID of an exhibitor or a booth in your ExpoFP plan. Any other http:// or https:// address is accepted and opens as a web page inside the app.

Link a sponsor booth to a place on the map

  1. Export the sponsors, or download the sponsor import template. See Import and export sponsors with a CSV file.

  2. In the Map Link column, enter the map address for the booth, for example https://<your-plan>.expofp.com/?Acme.

  3. Import the file.

The link must be an http:// or https:// address. A developer can also set it with the Core API field map-link. See Give partners scoped API access with organization tokens.

How the apps open a map

  • An address on expofp.com opens the interactive ExpoFP map. Any other address opens as an embedded web page. An image map opens as an image.

  • A session's Map Url and a sponsor's Map Link open the venue map at that address. They work only when a venue map is set.

  • In the mobile app, the interactive map uses the ExpoFP app SDK. The app asks for location access when the map loads; when the attendee allows it, the map shows their position. The swipe-back gesture is off on the map so attendees can drag it.

  • In the web app, the interactive map uses ExpoFP's web SDK. If the SDK fails to load, the app shows the ExpoFP page in a frame instead.

  • In ExpoFP, an exhibitor's custom button that links to the sponsor's page in the Brella web app (.../sponsor/<id> or .../sponsors/<id>) opens that booth inside the app. In the mobile app, other button links open in the in-app browser.

What attendees see

  • Home page: a Map button next to Activity and Event info when a venue map is set.

  • Session details: a Show map button. It needs a venue map, a Location or Map Url on the session, and an attendee whose attendance type is not virtual.

  • Sponsor booth: a Show map button when the sponsor has a Map Link.

  • Accepted meetings: Show map in the meeting menu when a networking area map is set. It opens the networking area map.

Limits

  • One venue map and one networking area map per event.

  • Images are cropped to 16:9 and saved up to 5 MB.

Troubleshooting

The map opens as a plain web page
The address is not on expofp.com. Enter the ExpoFP address of your plan.

The map opens but no booth is selected
The text after ? does not match an exhibitor or booth name or external ID in ExpoFP. Copy the exact name from ExpoFP.

"The venue map is not available for this event"
No venue map is set. Set one under Customization > Maps.

No Show map button on a session
No venue map is set, the session has neither a Location nor a Map Url, or the attendee's attendance type is virtual.

"URL must start with http:// or https://"
Add the protocol to the address in Web page URL.

"URL is not valid!"
The address contains characters the field doesn't accept, such as # or a space. Remove them.

The map page stays blank in the web app
The web app shows a map web page inside a frame, and some sites don't allow that. Use a page that allows embedding, or upload an image map.
