Add downloads to a booth

C
Written by Customer Success

Give attendees files to download from a sponsor's booth: brochures, price lists or slides. A download is either a file you upload (PDF or image, up to 5 MB) or a link to a file hosted elsewhere.

Before you start

  • You need to be an organization admin or an event admin. Sponsor admins can manage the downloads of their own booth from Booths.

  • Uploads are limited to PDF, JPG, PNG, GIF and SVG files up to 5 MB. For other formats, such as PPTX or DOCX, host the file elsewhere and add it as a link.

  • The booth section is hidden from attendees until the booth has at least one download that is switched on.

Where to find it

Sponsors > Sponsors > [sponsor] > View > Downloads in the admin panel.

Add a download

  1. Open Sponsors > Sponsors and select View on the sponsor.

  2. Open the Downloads tab.

  3. Select Add new. The Add new downloadable dialog opens.

  4. Enter a Title (up to 25 characters) and a Description (up to 100 characters).

  5. In Select a file, choose Insert file URL or Upload a file.

  6. For a link, enter the file address in the field. For an upload, drop the file in Click or drag file to upload or select the area to browse.

  7. Select Create. Brella shows "Download created successfully".

The new download is switched on and goes to the end of the list.

Edit, reorder, hide or delete a download

  • Select a row to expand it. Change the fields and select Save changes. Brella shows "Download updated successfully". Select Cancel to close the row.

  • Drag a row by its handle to change the order. The handle is disabled while the row is expanded. The order saves at once with "Download order updated".

  • Use the switch at the start of a row to hide the download from attendees without deleting it. Brella shows "Download disabled" or "Download enabled".

  • To delete a download, expand the row and select Delete, then Confirm. The dialog reads "You are about to delete a Download" and the deletion can't be undone.

What attendees see

  • A section named after the booth's Downloads tab (default Downloads) with the count, for example "Downloads (4)". The section is one of the booth sections you order under Edit Details > Tab Customization.

  • Each download shows a file icon based on the file extension, the title, the description and a download button.

  • Selecting the row or the button opens the file outside the booth: in the device browser on the mobile app, in a new browser tab on the web app. For uploads this is the stored file; for links it is the address you entered.

  • The section lists up to 10 downloads. With more, a Show all link opens the full list.

  • Downloads that are switched off are not shown. When no download is on, the section is hidden.

In Tab Customization, the Downloads row has a striped background and the tooltip "Not visible to attendees — no content added yet" only while the booth has no downloads at all. Downloads that are switched off count as content there.

Limits

  • Title: 25 characters. Description: 100 characters. The form rejects longer text: "Title can't be longer than 25 characters", "Description can't be longer than 100 characters".

  • Uploads: PDF, JPG, PNG, GIF or SVG, up to 5 MB.

  • A file URL must use http or https.

  • No limit on the number of downloads per booth.

Troubleshooting

The file picker does not show my file
The picker only accepts PDF and image files. Host the file elsewhere and add it with Insert file URL.

"Couldn't create the download, please try again"
The file is over 5 MB or not a supported type, or the URL is not a valid web address. Fix the field and select Create again.

Attendees don't see the Downloads section
Every download is switched off, or the booth has none. Turn one on in the Downloads tab.
