Set permissions and access for a list

C
Written by Customer Success

The Permissions & access tab of a list decides what its members can do: network, send and receive meeting requests, scan leads and show a QR code. Ticket type lists also set a profile badge and in-app invites. The tab links to the places where you limit content and communications to lists.

Before you start

  • You need to be an organization admin or an event admin.

  • On a ticket type list every setting has a value. On a custom list every setting can be Not set, which leaves it to the person's other lists. When a registrant is on several lists, see How permissions work when someone is on several lists.

  • Some settings depend on event-level switches. Lead scanning needs Lead scanning on in Networking > Settings > Chat & lead scanning. Show invites in app needs Show invites in Brella apps on in People > Settings.

  • Changes apply at once. If the event is in progress, joined attendees whose networking turns on or off get a push notification and an in-app notification.

Where to find it

People > Lists > Ticket type or Custom > select the list name > Permissions & access in the admin panel.

The side navigation jumps to Profile badge (ticket type lists only), Permissions and Content & Communications access. Switches and options save when you select them. Text and number fields save when you leave the field. Choosing Limit to… saves nothing until you enter a number. The message "Saved" confirms each change.

Add a profile badge

Ticket type lists only.

  1. In Profile badge, turn on Show profile badge.

  2. In Badge label, enter the text, up to 45 characters. Examples: VIP, Speaker, Sponsor.

  3. Leave the field to save.

Nothing is saved until you enter a label. Turning Show profile badge off deletes the label.

Attendees see the label on each member's profile in the app, under the heading Attendance type.

On

Show invites in app

Ticket type lists only. "Invited registrants can see the event before joining."

On

The four meeting request settings appear only while Enable networking is On.

On a new custom list every setting starts as Not set. A Set or Not set tag next to each title shows whether the list sets it.

Enable networking

When networking is off for a member:

  • the Networking tab is hidden in the app, and the People tab shows "Sorry, networking unavailable";

  • they can't send or receive meeting requests;

  • they can't scan leads;

  • onboarding skips the networking profile steps.

Allow sending requests to and Allow receiving requests from

  • Anyone: every list.

  • Specific lists: choose the lists in the Lists field. The options are grouped as Ticket type lists and Custom lists. A person matches if they are on at least one chosen list, through their ticket type list or a custom list.

  • None: no requests in that direction.

Specific lists with no list chosen blocks all requests, like None. The tab then shows "Select at least one list, or choose None." Choosing Anyone or None clears the chosen lists.

A request goes through only if the sender's Allow sending requests to and the receiver's Allow receiving requests from both allow it.

Allow sending requests to set to Specific lists, with two lists chosen in the Lists field

Limit meeting requests sent

Enter a whole number of 1 or more. Requests a member sent count while they are pending, accepted or rescheduled. Declined and cancelled requests don't count, and chat requests never count.

For sponsor representatives whose booth has an accepted meeting limit, the booth limit applies instead. See How permissions work when someone is on several lists.

Limit confirmed meetings

Enter a whole number of 1 or more. Once a member has that many accepted meetings, they can't send or receive new meeting requests, and pending requests with them can't be accepted. Chat requests are not affected.

Lead scanning

Members can scan only if the event-level Lead scanning switch is on, networking is on for them, and they haven't opted out of networking. Sponsor representatives follow their booth's lead scanning setting. See Let attendees scan each other's QR codes.

Show QR code

Off hides the member's QR code in the app (the My Code sub-tab), on their in-app invite card, and in custom emails that include it.

Show invites in app

Ticket type lists only. Members who sign in with their registered email address see the event and their invite under My events before they join.

This setting works only while Show invites in Brella apps is on in People > Settings > Event access > Invites settings, which exists for invite-only events. While that switch is off, Show invites in app shows as off and can't be changed. It says "Requires “Show invites in Brella apps” in Event settings." and links there with Open Event settings. The list keeps its own value for when the event switch is turned on again. See Add registrants one at a time and send invitations.

Content & Communications access

This section links to nine areas: Sessions & timeslots, Custom pages, Stories, Featured tiles, Spaces, Pitch reels, Streams, Announcements and Custom emails. Select Manage to open that area in a new browser tab. You choose the lists in each item's own settings, not here.

  • Spaces have no list setting.

  • In Pitch reels, lists decide who can upload videos (Who can upload videos?), not who can watch them.

Networking areas can also be limited to lists, in Networking > Networking Areas > Who can access this location?.

Access adds up. A member can open any content limited to any of their lists, and a communication sent to several lists reaches each person once.

Custom lists

A custom list's tab differs from a ticket type list's:

  • Every setting has a Not set option. For the meeting limits, Not set replaces No limit.

  • The tab starts with the notice "Custom lists override ticket type lists. Anything left Not set falls back to the registrant’s other lists." and the notices "Permissions don’t stack — they override." and "Content and communications are additive".

  • There is no Profile badge section and no Show invites in app.

What attendees see

  • Networking off: no Networking tab, and "Sorry, networking unavailable" with "This restriction may be set by the event organizer." on the People tab.

  • A request they can't send (blocked by lists or out of requests): the person's card shows View profile instead of Connect.

  • Limit meeting requests sent: a notice on the People page with "Your ticket" and the ticket type list's List name. It says "You have utilized N out of M meeting requests allocated for your ticket type. Canceled or declined meetings will refund your meeting request." It has a Manage sent requests link.

  • Limit confirmed meetings reached by the attendee who accepts a request: "This meeting couldn't be confirmed" and "You've reached the maximum number of accepted meetings."

  • Limit confirmed meetings reached by the other person: "Unfortunately, this meeting couldn't be confirmed" and an invitation to leave a message.

  • Lead scanning off: the scanner shows "Sorry, QR code scanning is unavailable".

  • Profile badge: shown on the member's profile under Attendance type.

Limits

  • On a custom list, the meeting request settings stay hidden until Enable networking is On. Setting it to On also overrides a ticket type list that has networking Off.

  • If you change Enable networking away from On after setting the meeting request settings, they are hidden but keep their values. On a custom list those values still apply to members. Set them back to Not set first.

  • A custom list can't remove a ticket type list's meeting limit. It can set a different number, including a higher one.

  • The profile badge comes from the ticket type list only.

  • The Lists field offers 100 lists at a time. Type to search for others.

Troubleshooting

"Select at least one list, or choose None."
You chose Specific lists without choosing a list. Requests in that direction are blocked until you choose one.

Show invites in app is grayed out
Show invites in Brella apps is off in People > Settings. Select Open Event settings and turn it on.

A member can't scan leads although Lead scanning is On
Check these causes:

  • The event-level Lead scanning switch is off.

  • Networking is off for the member, or they opted out of networking.

  • Their sponsor booth has lead scanning off.

  • One of their custom lists sets Lead scanning to Off.

The profile badge doesn't show
Badge label is empty, or the member is on a different ticket type list. The badge comes from the member's ticket type list only; custom lists have no badge.
