Let attendees scan each other's QR codes

Lead scanning lets attendees scan another attendee's QR code in the app and save that person under Scans. Scans belong to the attendee who made them. The admin panel shows scan counts on Home and lists an attendee's scan only when the scanned person is a sponsor representative.

Before you start

  • You need to be an event admin or an organization admin.

  • Lead scanning needs two settings: the event-level Lead scanning switch and the Lead scanning permission of the attendee's list. Both must be on.

  • An attendee can scan only if Enable networking is on for their list and they have not opted out of networking.

Where to find it

  • Event switch: Networking > Settings > Chat & lead scanning > Lead scanning.

  • List permission: People > Lists > Ticket type or Custom > open a list > Permissions & access > Lead scanning.

Turn on lead scanning for the event

  1. Open Networking > Settings.

  2. In Chat & lead scanning, turn on Lead scanning.

The switch is off for new events. While it is off, the app hides the QR Code tab, the Scans tab and the Scans shortcut for everyone, whatever the lists say.

Set lead scanning per list

  1. Open People > Lists.

  2. Open Ticket type or Custom and select the list name.

  3. Open Permissions & access.

  4. Under Permissions, set Lead scanning. Ticket type lists offer Off and On. Custom lists offer Not set, Off and On. Not set means the person's other lists decide.

The change saves when you select an option.

Let attendees be scanned

Show QR code, on the same tab, decides whether members have a QR code that others can scan. When it is on, the attendee sees My Code in the QR Code tab. When it is off, the attendee can still scan others if Lead scanning is on for them.

Defaults and how the settings combine

  • New ticket type lists start with Lead scanning on and Show QR code on, even when the event switch is off. The default list All registrants is a ticket type list, so it starts on too.

  • New custom lists start with every permission Not set.

  • Turning Lead scanning on for a list does not turn on the event switch. The event switch changes only in Networking > Settings.

  • Turning the event switch off hides the QR Code and Scans tabs and the Scans shortcut but keeps every list and booth setting. Turn the switch back on and the earlier list settings apply again.

  • When a registrant is on several lists, Brella checks custom lists first in priority order, then the ticket type list. The first list with On or Off decides. See How permissions work when someone is on several lists.

  • Sponsor representatives follow their booth's Lead scanning switch (Sponsors > the booth > Booth Control), not their list. A representative of a booth with lead scanning on can scan even if their list says Off. A representative of a booth with it off can't scan even if their list says On. The booth switch is off by default. Show QR code still comes from the representative's lists.

What attendees see

  • A QR Code tab in the mobile app and the web app with My Code (if Show QR code is on for them) and Scan QR Code.

  • A Scans tab inside People and a Scans shortcut at the top of Networking. Both list the people they scanned.

  • Scanning works in the mobile app and in the web app. The web app asks for camera access in the browser.

  • If they opted out of networking: "You haven't enabled matchmaking yet" with a Start networking button. If networking is off for their list: "Sorry, networking is unavailable". If lead scanning is off for them: "Sorry, QR code scanning is unavailable".

Limits

  • The admin panel lists an attendee-to-attendee scan only when the scanned person is a sponsor representative: the scan appears in that booth's Inbound scans (Sponsors > Sponsors > the sponsor > Scans). Scans of other attendees are not listed anywhere in the admin panel. Home shows the counts Total scans, Scanned by sponsors and Scanned by attendees. See Review a sponsor's lead scans and set up scan questions.

  • On iOS and in the web app, the app decides which tabs to show when the attendee opens the event and keeps them until the attendee reopens the event. After you change a setting, ask attendees to reopen the event or restart the app. On Android the tabs update on their own.

Troubleshooting

An attendee doesn't see the QR Code tab
The event switch is off, or lead scanning and Show QR code both resolve to off for that attendee. Check Networking > Settings, then the attendee's lists and booth. Ask the attendee to reopen the event.

An attendee sees "Sorry, QR code scanning is unavailable"
Lead scanning resolves to off for them: a list with Off wins, or they represent a booth with lead scanning off.
