A custom field stores extra information on registrants, speakers, sponsors or sessions, such as a membership level, a session format or a sponsor's product category. You define the field once, then fill in a value for each person or item.
Before you start
You need to be an event admin or an organization admin.
Who sees the values depends on what the field is for:
Registrants: hidden from attendees and sponsors until you turn on Show in registrant profiles or Expose to Sponsors / Exhibitors.
Speakers, Sponsors and Sessions: shown to attendees in the app whenever a value is filled in. There is no setting to hide them.
Where to find it
Custom content > Custom Fields in the admin panel, on the Custom Fields tab. The page lists the fields in one table per type: Registrants, Speakers, Sponsors and Sessions.
Create a field
Open Custom content > Custom Fields.
Select Create new. If the event has no custom fields yet, you can also select Create a new custom field.
Enter the Field name. Admins and attendees see it as the field's label.
Enter the Field key. The API and Dynamic URL tags use it. Brella saves it in lowercase with underscores:
Industry Trackbecomesindustry_track.Under Assigned to, choose Registrants, Speakers, Sponsors or Sessions.
6. Under Field type, choose one:
Text: one free-text value.
Single choice: one option from your list.
Multiple choice: one or more options from your list.
Custom values: one or more free-text values.
If you leave Field type empty, Brella saves the field as Custom values. 7. For Single choice and Multiple choice, select Add option for each option and enter its text. Drag options to change their order. 8. Under Visibility Settings, turn on the switches you need. The settings table describes them. 9. Select Create. 10. If you turned on Expose to Sponsors / Exhibitors, select Yes, Expose Data in "Confirm Data Exposure".
The admin panel confirms with "Custom field definition created successfully".
Settings
Setting | Assigned to | What it does | Default |
Show in registrant profiles | Registrants | Shows the field and its values on the person's profile in the app. | Off |
Make filterable | All four | Lets attendees filter by the field's values. Registrants: the People list; the field must have Show in registrant profiles on first. Speakers, sponsors and sessions: the Speakers, Sponsors and Schedule lists. | Off for registrant fields. For other types, choose the setting and check the Filterable column after saving. |
Expose to Sponsors / Exhibitors | Registrants | Adds the field as a column in each booth's Scans table and its CSV export, and in the sponsored sessions table and its export. | Off |
For registrant fields, the panel warns: "Changing these settings may expose incorrect or sensitive data to unintended registrants." Turning off Show in registrant profiles also turns off Make filterable.
After creating the field, check its Filterable column. To change the setting, select Edit, set Make filterable and select Update.
The table's Filterable column shows Yes or No. For registrant fields, Exposed to shows Attendees (Show in registrant profiles on) and Sponsors (Expose to Sponsors / Exhibitors on).
For how attendees filter speakers, sessions and sponsors, see Filter speakers, sessions and sponsors by custom fields.
Fill in values
Assigned to | Where to enter values |
Registrants | People > Registrants: select View for a registrant, then Registration details > Custom fields. Also in Custom fields when you add a registrant. Attendees can also answer onboarding questions. See Ask onboarding questions with custom fields. |
Speakers | The speaker form under Content > Speakers, after Bio. |
Sessions | The session editor under Content > Schedule, at the end of Details. |
Sponsors | The sponsor form under Sponsors, section Custom fields. It is marked Admin Only; sponsor admins don't see it. |
The input matches the field type. Text is a text box. Single choice and Multiple choice show your options. For Custom values, press Enter after each value.
You can also set values through the Brella API. The CSV imports for registrants, speakers, sessions and sponsors don't include custom fields.
Edit a field
Select Edit in the field's row.
Change the Field name, Field type, Options or visibility switches. Field key and Assigned to can't be changed.
Select Update.
Values already saved stay as they are when you change the type or the options. If a booth links representatives by a choice field and you change its options, Brella removes the rule values that are no longer options. If none are left, it turns off Automatic linking for that booth and resets its linking method to Partial match.
Delete a field
Select Delete in the field's row, then Ok in "Are you sure you want to delete this custom field definition?".
Warning: Deleting a field can't be undone. It also:
deletes every value saved in the field;
deletes the onboarding question that uses it;
turns off Automatic linking on booths that link representatives by this field, and resets their linking method to Partial match;
makes custom list automation conditions on this field stop matching;
leaves session cards with no tags and no custom field label if the field was chosen under Card design in Content > Schedule > Settings. To show tags again, choose any custom field there, then choose Tags.
Where custom fields are used
Registrant fields:
Review a sponsor's lead scans and set up scan questions and Review who engaged with a sponsor's sessions, with Expose to Sponsors / Exhibitors on
Set up a managed meetings program, with Make filterable on
Session fields: the label on session cards. See Schedule settings reference.
Speaker, session and sponsor fields: profiles and filters in the app, and filters in the schedule and sponsor widgets. See Filter speakers, sessions and sponsors by custom fields.
Limits
Field key: unique among the fields of the same type in the event. The same key can be used for a speaker field and a session field.
Field name, Field key and each option: up to 1,000 characters.
Single choice and Multiple choice need at least one option, and options can't be empty.
Troubleshooting
"Unfortunately, we couldn't create the custom field definition"
A value is missing or not valid. Common causes: no Assigned to type, no options for a choice field, or a Field key already used by a field of the same type.
Make filterable can't be turned on
For registrant fields, turn on Show in registrant profiles first.
Attendees can see a speaker, session or sponsor value
Values of these fields are always shown in the app. Remove the value, or delete the field.
