Ask onboarding questions with custom fields

C
Written by Customer Success

An onboarding question asks attendees to fill in a registrant custom field while they join the event. The answer is saved on the registrant like any other custom field value.

Before you start

  • You need to be an event admin or an organization admin.

  • Create the custom field first under Custom content > Custom Fields > Custom Fields, with Registrants as the entity. Fields for speakers, sponsors or sessions can't be used.

  • Each custom field can back only one question.

  • Questions in the Personalize your profile step are shown only to attendees who go through the networking part of onboarding. Attendees in Fast onboarding, attendees who select I'll do it later, and attendees whose lists have networking off don't see them when they join.

Where to find it

Custom content > Custom Fields > Onboarding questions in the admin panel.

The two steps

The page lists the questions of each onboarding step in its own table.

Step

Built-in rows (fixed)

When attendees see it

Step: Personal information

First name, Last name, Company / Organization, Job title

Always, in both onboarding modes

Step: Personalize your profile

Persona, Industry, Function, for the identities the event uses

Only with Networking-Oriented onboarding, for attendees who continue past Set up your event profile. Adding a question here makes the step appear even if the event doesn't use identity.

The built-in rows can't be edited, reordered or removed. Your questions follow them in the table.

Add a question

  1. Select Add question.

  2. Choose the Custom field. Fields already used by another question are greyed out.

  3. Turn Required field on if attendees must answer before they can continue.

  4. Enter the Question title, up to 45 characters. This is the label attendees see.

  5. Enter a Question description if needed, up to 256 characters. Shown under the title.

  6. Under Question asked in, choose Personal information or Personalize your profile.

  7. For Personalize your profile, choose Question asked from: Everyone, or Identities to ask only attendees who pick certain personas, industries or functions. Identities is offered only when the event uses identity. Select at least one identity.

  8. Select Add.

The admin panel confirms with "Question created successfully". The question's field type comes from the custom field: Text, Single choice, Multiple choice or Custom values.

Reorder, edit or delete

  • Reorder: drag a question by its handle within its step table. The built-in rows stay on top.

  • Edit: select the question title. Change any field except Custom field, then select Add. Changing Question asked in clears the identity selection.

  • Delete: select the question title, then Delete. The custom field and the answers already collected are kept; only the question is removed.

What attendees see

  • Personal information questions appear under the four name and company fields, in the order you set, with the title and description you entered. The step ends with Complete profile.

  • Personalize your profile questions appear on the Personalize your profile screen with the persona, industry and function pickers. A question limited to identities appears as soon as the attendee selects a matching identity.

  • Single choice and Multiple choice fields open a list of the field's options. Text and Custom values fields are text boxes.

  • Attendees who go through the join steps again see their current answers prefilled.

Limits

  • One question per custom field, and the field can't be changed once the question exists. Delete the question and add a new one instead.

  • Title up to 45 characters, description up to 256.

  • Questions apply to every attendee of the event; they can't be limited to ticket type lists or custom lists.

  • Registering someone in the admin panel or by CSV doesn't answer the questions; the attendee answers them when they join. You can also enter or change the values under Registration details.

Troubleshooting

Attendees don't see a Personalize your profile question
The event uses Fast onboarding, the attendee selected I'll do it later, networking is off for the attendee's lists, or the question is limited to identities the attendee didn't pick. Check Details > Onboarding settings and the question's Assigned to column.

The custom field isn't offered in Add question
The field isn't a Registrants field, or another question already uses it.

Attendees can't continue the step
A Required field question has no answer. Ask them to fill it in, or turn Required field off.
