The meetings table in Networking shows every meeting with its status, time, place and participants. From it you export a CSV file, open a meeting to add a message or invite guests, and cancel a meeting with or without notifying the participants.
Before you start
You need to be an event admin or an organization admin.
Chats without a meeting are not listed and are not exported.
Where to find it
The same table appears in three places. Each keeps its own filters and column choices.
Page | Shows |
Networking > Overview | All meetings: meetings arranged by attendees and by organizers, drafts included |
Networking > Open Meetings | Meetings attendees arranged themselves |
Networking > Managed Meetings > Meetings | Meetings organizers arranged, drafts included, with the Arrange meetings button |
The title shows the number of meetings in the current view, for example "All meetings (128)".
Read the table
Status cards at the top count the meetings per status: Accepted, Pending, Rescheduled, Canceled, Rejected and, on Overview and Managed Meetings, Draft. Select a card to filter by that status. Select it again to remove the filter.
Refreshed: <time ago> reloads the table. The data does not refresh on its own.
Search by name, email address, company name or title.
Choose 10 to 200 rows per page at the bottom. The default is 200.
Default columns: Date, Time, Status, Location, Point, Requester with their rating, Receiver with their rating, and Guests when group meetings are on.
Point shows the meeting point number, for example "Table 3", without a custom label.
Statuses:
Status | Meaning |
Accepted | Confirmed and scheduled |
Pending | Waiting for the receiver's answer |
Rescheduled | A new time was proposed and is waiting for confirmation |
Canceled | Accepted, then canceled |
Rejected | The receiver declined |
Draft | Created by an organizer, not confirmed yet. Only organizers see drafts. |
A participant who was added before joining the event shows as "Not joined yet". A meeting with no networking slot shows "Custom location".
Filters
Select Filters. The badge shows how many filters are active. Clear filters removes them all.
Filter | Options | Shown |
Date and Time range | Event days; a time range applied to each selected day | Always |
Meeting status | The statuses of the current view | Always |
Created by | All, Organizer, Participants | Overview only |
Location | Networking areas | Always |
Program | Published managed meetings programs | When programs are on |
Registrant list | Ticket type and custom lists | Always |
Meeting ratings | All meetings, Rated, Not rated, No show; Ratings range slider from 0.5 to 5 for rated meetings | When meeting ratings are on |
Meeting type | 1:1 meetings, Group meetings | When group meetings are on |
Columns
Select Edit columns, pick the columns and select Apply. Available columns: ID, Date, Time, Status, Created by, Location, Point, Created at, Updated at; Requester, requester rating, Requester email, Requester ticket type, Requester message; the same five for the receiver; and Guests.
The rating cells show the score with a star (for example "4.5"), a no-entry symbol for a meeting marked as not happened, a speech bubble when the attendee left a comment, or "No rating". Select the rating to open the meeting.
Export meetings
Select Meetings export (.csv). The admin panel confirms "Your CSV export will be delivered by email shortly." Brella builds the file in the background and emails it to the address you use for the admin panel, as a .zip file that contains the CSV. The file is named <event code>-meetings-<date>.csv.
The export ignores the filters and includes every meeting of the event, drafts included, with these columns: Date, Time, Status, Location, Meeting Point, Meeting Type, Created By, Program, requester email, name, company, title, ticket type list and message, the same for the receiver, Message, Additional Guests, Created and Changed status. With meeting ratings on, each row also has the requester's and receiver's score, comment and rating timestamps.
Meeting Point holds the point's name and number, for example "Table 3". A reserved point with a custom label reads "VIP, Table 3", also when you hide the number from attendees.
Open a meeting
Select Edit on a row. The Meeting details drawer shows the participants, the time, the location and the point.
For a 1:1 meeting an organizer arranged, the drawer has an Add message switch with one field per participant (300 characters). The message appears as a message from the organizer in the meeting chat and in some emails. Select Save changes.
For other meetings, the drawer lists the participants under Attending, Invited and Declined, with each person's rating and comment when they rated the meeting.
Invite others adds guests. Choose people, select Continue (<n>), add an optional message and select Send invite. Guests you add from the admin panel are accepted into the meeting at once. Invite others is not available on canceled or draft meetings.
Cancel a meeting
Select Edit on the meeting.
Select Cancel meeting.
In Confirm action, choose under Notify participants:
Send individual emails and push-notifications: every participant gets an email and a push notification about the cancellation. For an organizer-arranged meeting the push reads "An admin cancelled your meeting with <name>". For a meeting attendees arranged themselves it reads "<other participant> cancelled your meeting".
Don't send anything: the meeting is canceled silently.
Select Yes.
The meeting status becomes Canceled, its meeting point is freed, and the chat is frozen. The chat shows "Event organizer canceled the meeting" and its input reads "Event organizer closed the chat. Participants can't send messages." The admin panel confirms "Meeting cancelled successfully". A canceled meeting can't be restored.
For a draft, the button reads Remove draft. The draft is deleted at once, without a confirmation and without notifying anyone.
What attendees see
A canceled meeting shows as canceled in the app. The chat stays visible, with "Event organizer canceled the meeting", but nobody can send new messages.
Meetings arranged by organizers carry the label set in Networking > Settings > Managed meetings (default "Arranged by organizer").
Guests added from the admin panel see the meeting in their schedule without having to accept.
Limits
The export always covers the whole event. Filter in a spreadsheet instead.
Personal messages: 300 characters per participant.
Cancelation can't be undone. Create a new meeting instead.
Troubleshooting
A meeting is missing from Open Meetings
It was arranged by an organizer. Open Networking > Overview or Networking > Managed Meetings > Meetings.
The Created by filter is missing
It exists only on Networking > Overview. The other two pages already show one kind of meeting.
The export email hasn't arrived
The file is generated in the background. Check the spam folder of the email address you use for the admin panel, then request the export again.
