Remove registrants from your event

Written by Customer Success

To remove someone from your event, delete them in People > Registrants. Deleting removes their registration, their access to the event, and their meetings and chats. It can't be undone.

Before you start

  • You need to be an event admin or an organization admin.

  • Warning: Deleting a registrant also deletes every meeting and chat in which they are the requester or receiver, including accepted meetings. The other participants are not notified. The meetings disappear from their schedules and chats. To tell them, cancel those meetings with notifications first. See Monitor, export and cancel meetings.

  • To keep a record, export the data first from People > Settings: Export registrants (.csv), Meetings export (.csv) and Open chat export (.csv).

Where to find it

People > Registrants in the admin panel.

Remove one registrant

  1. Open People > Registrants and search for the person by name, email address, company name or title.

  2. In the Actions column, select Delete.

  3. Confirm "Are you sure you want to permanently delete this registrant and associated registration data?" with Yes.

The admin panel shows "Registrant successfully deleted".

Remove several registrants

  1. Tick the checkbox of each registrant. The table header reads "<n> registrants selected".

  2. Select Delete (<n>).

  3. Confirm "Are you sure to delete <n> registrant(s)?" with Yes.

The admin panel shows "Successfully deleted <n> registrant(s)".

What is deleted

  • The registration details, custom field values, and ticket type list and custom list memberships.

  • Any one-click links. The personal join code stops working.

  • Meetings and chats in which the person is the requester or receiver, in any status, drafts included.

  • Their place as a guest in group meetings. The meeting stays for the other participants.

  • Their session registrations, session bookmarks, people bookmarks in both directions and blocked times. If a session has Waitlist mode on, the freed place goes to the next person on its waitlist, and Brella sends them a push notification.

  • Their link to sponsor booths as a representative.

  • Their managed meetings program sides, their picks, and other people's picks of them.

  • Their pitch reel video.

What is kept

  • The person's Brella account. They can still sign in, but the event no longer opens for them.

  • Their visits in traffic analytics.

  • Scans of the person. Each scan stays with whoever made it, without the person's details:

    • In the app, the scanner's Scans list shows "Removed prospect" ("This prospect's profile was removed from the event"). The notes are no longer shown there.

    • In the admin panel, the booth's Scans tab shows Deleted user under Scanned registrant. The notes and scan-question answers stay.

    • The sponsor's leads export (.csv) keeps the row with the date, the representative, the notes and the answers. The name, email, company, job title and profile columns are empty.

  • Scans the person made as a booth representative. They stay with the booth, and Who scanned shows Deleted user.

Brella doesn't email the person when you delete them.

Can a removed person join again

How they joined

After you delete them

Personal join code or link (invite-only event)

The code no longer works. The app shows "The join code you entered isn’t valid". Add them again if you want them back.

Registration link

Deleting frees one use of the link. They can join again with the same link while it is active and has uses left.

Event join code (public event)

They can join again with the join code. To keep them out, make the event invite-only. See Invite-only or public: event visibility, join codes and join links.

Nobody can join after the event closes for joining. See How attendees register and join your event.

Integrations

  • Swoogo: if the registrant came from the Swoogo sync, the next run creates them again, unless they are cancelled or filtered out in Swoogo. See Sync registrants from Swoogo.

  • Xtag: Brella removes the deleted registrant from Xtag.

  • Webhooks: webhooks set to Registrants and Deleted send a request for each deleted registrant. See Send event data to other tools with webhooks.

Troubleshooting

A removed attendee is back in the event
The event is public and they used the join code again, they used a registration link that still had uses, or an integration such as Swoogo added them again.

An attendee asks where a meeting went
The other participant was deleted from the event. Deleting removes their meetings without any notification. Arrange a new meeting if needed.
