Understand how the native Swoogo integration's "Registrants from Swoogo to Brella" sync works

Introduction

The "Registrants from Swoogo to Brella" sync is used to transfer your registrants in Swoogo to Brella. Running this sync will create and update invites in Brella for each of your registrants.


Things to keep in mind:

  • Make sure that your invites in Brella are set to "unpublished" > Otherwise, everyone brought over will automatically have emails sent over. Please discuss your 'go live' strategy with your customer success manager prior to publishing your invites.


What happens behind-the-scenes

  • Initial run:

    • The first time the integration runs, it will import all of the registrants in your Swoogo event

    • The integration will create user groups in Brella corresponding to reg_types in Swoogo and assign each invite to the correct user group β€” please do not delete these groups. They are controlled by the integration. However, you can set networking & other access control rules for these groups.

  • Subsequent runs (create and update):

    • Every subsequent run will only retrieve data from Swoogo that have a created_at or updated_at timestamp after the last previous successful run.

    • If the registrant already has an invite in Brella, and one (or more) of the mapped fields has been updated in Swoogo, it will update the invite in Brella

    • If the registrant doesn't have an invite in Brella, it will be created.

    • User groups will be updated / changed in accordance with any reg_type changes in Swoogo


Limitations/ what this sync will not do

  • Cancelling/ deleting the record in Swoogo will not delete the corresponding invite in Brella. This can be done manually, however.

    • The native integration doesn't support destructive actions at present β€” we hope to add this in Q4/ Q1 2025 after observing usage and gathering customer feedback.

  • Updating the invite in Brella after it has been claimed/ an attendee has joined the app using the invite, will not have an impact (other than for changing the user group).

    • As such, any registrant transfers after a person has joined Brella will not be automatically handled by the integration. This is something we hope to add in Q4/ Q1 2025.
