Filter, edit and delete sessions and networking slots

Use Filters to narrow the Timeslots table, Edit to change one session or slot, and the row checkboxes with Delete (N) to delete several at once.

Before you start

  • You need to be an organization admin or an event admin.

  • Warning: Deleting is permanent. Deleting a networking slot also deletes every meeting booked in it, without a notice to the participants. Deleting a session removes its bookmarks and registrations.

  • Make structural changes before the event opens. Editing a networking slot that already has meetings is limited (see Edit a session or slot).

Where to find it

Content > Schedule > Timeslots in the admin panel. The Filters and Delete (N) buttons are above the table on the left; Edit and Delete are in the Actions column of each row.

Filter the table

  1. Open the day's tab. Filters stay on when you switch days.

  2. Select Filters. The Filters drawer opens.

  3. Choose values:

    • Track(s)

    • Tag(s)

    • Location

    • Slot type: Content, Networking

    • Session type: Regular, Virtually oriented. Shown only while Content is ticked under Slot type.

    • Speakers

    • Session visibility: registrant lists. Shows sessions gated to the chosen lists ("Filter sessions by their visibility to registrant lists. Leave blank to include all lists.").

  4. Select Apply.

The Filters button shows a red badge with the number of filter groups in use. Cancel closes the drawer without applying, Clear filters removes every filter. The Location column also has its own column filter.

Edit a session or slot

  1. Select Edit in the row. The editor opens in a drawer.

  2. Change the fields. Sessions have tabs; networking slots have one form. See The Schedule page and the session editor and Create networking slots.

  3. Select Update. The message "Timeslot edited successfully" confirms it.

For networking slots with 5 or more meetings that are not canceled or rejected, the start time can't be changed ("cannot be changed because meetings have been booked already"). Moving such a slot to a networking area that is too small shows Cannot Change Location with the number of accepted meetings and the area's capacity.

Delete one session or slot

  1. Select Delete in the row.

  2. Confirm "This timeslot will be deleted. This action cannot be undone" with Delete.

While the deletion runs, the notification "Time slots deletion in progress..." shows; "Time slots deleted successfully" confirms. If meetings were deleted, the notification Following meetings were cancelled lists each one with the requester's and receiver's name and email. It stays open until you close it; copy the details before you do.

Delete several at once

  1. Tick the checkbox of each row to delete. Rows of networking slots whose Meetings column shows 5 or more can't be ticked.

  2. Select Delete (N) above the table.

  3. Confirm "Timeslots will be deleted. This action cannot be undone" with Delete.

The deletion runs in the background. The same notifications as for a single deletion appear.

How the meeting limit works

  • The Meetings column counts accepted meetings in a networking slot.

  • Delete and the row checkbox are disabled when that count is 5 or more. The Delete tooltip says "This timeslot cannot be deleted because it has 5 or more accepted or pending meetings." and shows the count.

  • The deletion itself is refused when the slot has 5 or more meetings that are not canceled or rejected, pending requests included. A slot with fewer than 5 accepted meetings can therefore still be refused: the admin panel shows "Deleting time slots failed" and the list of cancelled meetings does not appear. Other slots selected in the same deletion are still deleted; reload the page to see the result.

  • To delete or move such a slot, have the participants cancel or reschedule their meetings in the app first. See Cancel or reschedule a meeting.

What happens on delete

  • Networking slot: its meetings are deleted. Brella does not send the participants a cancellation notice.

  • Session: bookmarks, registrations, speaker links, sponsor links, tags, links and the session chat are removed with it. Child sessions stay and become normal sessions.

  • Sessions in a disabled track are greyed out in the table but can be edited and deleted as usual.

Limits

  • A networking slot with 5 or more meetings that are not canceled or rejected can't be deleted or moved to another start time.

  • Filters apply per event, not per day: switching the day tab keeps them.

  • There is no bulk edit of fields. Change several sessions at once with the CSV export and import; see Import and export the schedule from a CSV file.

Troubleshooting

The table looks empty
Filters are on. Select Filters, then Clear filters.

Delete is greyed out on a networking slot
The slot has 5 or more accepted meetings. Have the participants cancel meetings in the app, then try again.

A row can't be ticked for bulk deletion
Same cause: 5 or more accepted meetings in that slot.

"Deleting time slots failed"
One of the slots has 5 or more meetings that are not canceled or rejected, pending requests included. Reload the page: the other slots are deleted. Handle that slot's meetings, then delete it on its own.
