Organization admins invite colleagues to the admin panel as organization admins or event admins. Brella emails an invitation, and access starts when your colleague opens Accept in the email and signs in.
Before you start
You need to be an organization admin. Event admins do not see Admins in the organization sidebar.
Choose the role:
Organization admin: every event in the organization, plus Admins and Settings, and API and Custom domains when Brella has turned them on for the organization.
Event admin: only the events you choose. The organization's Home page lists only those events.
Warning: The Accept link grants access to whichever account is signed in when it is opened. Tell your colleague to sign in with the invited address and not to forward the email.
Where to find it
Organizations > your organization > Admins in the admin panel. The page has the tabs Organization Admins, Event Admins and Sponsor Admins.
Sponsor admins are covered in Give sponsor admins access to their booths.
Invite an organization admin
Open the Organization Admins tab.
Select Add admin.
In Invite a new admin, enter your colleague's Email.
Select Save.
"Admin invited successfully" appears. The table shows the address with Pending invite and Expires at: followed by a date 2 weeks away. Event access shows All events.
Invite an event admin
Open the Event Admins tab.
Select Add admin.
Enter your colleague's Email.
In Events the user can access, choose one or more events. Past events are listed too. With no event chosen, no invitation is created.
Select Save.
"Admin invited to N events successfully" appears. Brella creates one invitation per event and sends one email per event. The table groups them in one row with Pending invite, and Event access shows the number of events. The event names appear after acceptance; until then the row says "The event names are currently visible only after the admin invite has been accepted".
What your colleague receives
One email per invitation:
Subject: <organization or event name> - Role invitation
Sender: Brella,
[email protected]. Organizations with a custom email domain send from that domain instead.Text: "You have been invited to join <name> as admin", an Accept button and "The invitation expires in 2 weeks".
Your colleague opens Accept, signs in with the invited address, and the access is applied. The steps are in Accept an admin panel invitation.
Remove an admin or a pending invitation
Select Remove in the row.
The confirmation reads "Are you sure you want to remove <name or email> from the organization and all its events?". Select Yes, remove.
"Admin deleted successfully" appears.
A pending or expired invitation is deleted. Its Accept link stops working.
An organization admin loses organization admin access.
An event admin loses event admin access to every event listed in the row.
If you remove yourself, the confirmation adds "You can't change this back yourself once confirmed."
Send an invitation again
There is no resend button for organization and event admins. Remove the pending or expired invitation, then invite the address again.
Brella refuses a new invitation while an unused one exists for the same address and the same organization or event. On the Organization Admins tab the admin panel shows "Unfortunately, we couldn't invite the admin". On the Event Admins tab the dialog stays open and no message appears.
Inviting an address to another event resets the expiry of all its event invitations to 2 weeks from now, including expired ones.
Limits
An invitation expires 2 weeks after it is sent.
Event admin invitations are per event: one invitation and one email per event.
Invite one address at a time. A bulk invite exists for sponsor admins only.
The role is always admin. There are no other roles for organization or event admins.
Troubleshooting
Unfortunately, we couldn't invite the admin
An unused invitation for this address already exists for the organization. Remove it and invite the address again.
Saving an event admin invitation does nothing
An unused invitation for this address already exists for one of the chosen events. Select Cancel, remove the pending or expired invitation, and invite the address again.
Your colleague accepted, but sees no events or only some events
Each event invitation has its own email. Ask your colleague to open Accept in every email. Check the row: Active means accepted, Pending invite means the link has not been opened while signed in. If an unexpected address appears as Active, the link was opened while another account was signed in; remove that admin and send a new invitation.
Admins is missing from the organization sidebar
You are an event admin. Ask an organization admin to invite your colleague.
