The Xtag integration sends your event's registrants to Xtag, an on-site check-in service. Each registrant goes to Xtag with the value of their Brella QR code, so the code they have in Brella also identifies them in Xtag.
Before you start
You need to be an event admin or an organization admin of the event.
You need a signed contract with Xtag. Ask your Brella contact for more information.
Brella turns on the Xtag integration for each event. If the Xtag card is missing from Integrations > Integration List, ask your Brella contact to turn it on.
Brella connects to Xtag with its own partner account. You don't enter Xtag credentials in Brella.
Where to find it
Integrations > Integration List in the admin panel, Xtag card. The page title reads Attendee data to CRM.
Turn on the integration
Open Integrations > Integration List.
On the Xtag card ("Use Xtag for in-person check-in"), turn on Integration enabled?.
If your event has no event in Xtag yet, Brella creates one with your event's name and time zone. Brella then runs a full send in the background: it adds every registrant that Xtag doesn't have yet and updates changed details. A large initial send can take time. Check the expected registrants in Xtag before opening check-in.
Open the Xtag dashboard
On the Xtag card, select Go to Xtag dashboard. The button appears while the integration is on.
Xtag opens in a new browser tab, signed in as you.
The first time you select the button, Brella adds your Xtag user to the event in Xtag. If you don't have an Xtag user yet, Brella creates one with your name and email address. Each admin who selects the button gets their own Xtag user.
Ask your Brella contact to coordinate the Xtag setup and confirm who provides scanner access and check-in instructions.
Before the event:
Check that an expected test registrant appears in Xtag with the right email and ticket type.
Open that person’s Brella QR code and test it with the configured Xtag scanner.
Confirm that the scanner finds the intended person.
Have the on-site operator check the result in Xtag and confirm where they will monitor arrivals.
Check-ins stay in Xtag. This integration does not copy check-in status back to Brella.
What Brella sends to Xtag
For each registrant who has an email address, Brella sends:
First name and last name. If either is empty, Brella sends "Invited" or "Attendee" in its place.
Company and job title.
Email address.
The value of the registrant's Brella QR code.
The name of their ticket type list.
Their external ID, in Xtag's custom field 1.
Their join code, in Xtag's custom field 2.
Brella uses the details from the registrant's invite first. If a field is empty there, it uses the details from their Brella profile.
Registrants without an email address are not sent.
When Brella updates Xtag
While Integration enabled? is on, Brella updates Xtag when:
You add or edit a registrant in the admin panel, or import registrants from a CSV file.
Registrants are added or edited through the Integration API, the Core API or the Swoogo registrants sync.
Someone joins with a registration link.
You delete a registrant. Brella removes them from Xtag.
People who join with the event join code, and people who take the second or a later seat of a shared invite, are not sent when they join. Brella sends them when you save them in People > Registrants, or when you turn Integration enabled? off and on again.
If you change the event's name or time zone, Xtag gets the change the next time Brella sends a registrant or someone opens the Xtag dashboard.
The sync goes one way, from Brella to Xtag. Check-ins made in Xtag don't appear in Brella.
Turn off the integration
Turn off Integration enabled? on the Xtag card. Brella stops sending changes. The event and the registrants already sent stay in Xtag. Registrants you delete in Brella afterwards also stay in Xtag.
What attendees see
Nothing changes in the app. Attendees use their Brella QR code. They see it in the app if their list has Show QR code turned on.
Limits
Registrants need an email address to be sent.
When you duplicate an event, the copy has the integration turned off. Turning it on in the copy creates a new event in Xtag.
Troubleshooting
The Xtag card is missing
The integration isn't turned on for your event. Ask your Brella contact.
A registrant is missing in Xtag
The registrant has no email address, joined with the event join code or took a later seat of a shared invite, or Brella is still sending a large event. Add the missing email address, or open the registrant in People > Registrants and select Save Changes. To send everyone who is missing, turn Integration enabled? off and on again.
"This event is not using Xtag"
The integration is off. Turn on Integration enabled? first.
