Every breakout room has two links. Attendees join through Brella, which opens the Speaker URL with preset options. The Host URL opens the same room as a host in Whereby and is meant for one person.
Before you start
You need to be an organization admin or an event admin to see the links.
The links appear when Brella has created the Whereby room in the background. Until then the card shows "URL will be here soon, refresh the page".
The controls inside the call belong to Whereby, not to Brella.
Where to find it
Content > Breakout rooms, Breakout Rooms tab. Each card shows the Speaker URL and a Show Host URL link. The room's edit page (select the title) shows both URLs at the bottom.
Get the Host URL
Open Content > Breakout rooms.
On the room's card, select Show Host URL. A dialog opens with the warning "Share this link with one person, who will moderate the room."
Select the copy icon next to Host URL. "Host URL copied to clipboard!" confirms.
Or open the room's edit page and copy Host URL from the box at the bottom, under Speaker URL.
Send the Host URL to the moderator in a private message. Attendees never receive it through the app.
Host a room
Open the Host URL in a desktop browser, outside Brella. Allow camera and microphone when the browser asks.
Join a few minutes before the room's start time. The URL works outside the room's hours, so you can prepare the room while attendees still see "This room isn't open yet".
Moderate the call with Whereby's host controls. Brella does not end the call at the room's end time; tell participants when to leave.
Find the host controls
The following controls belong to Whereby's desktop room. Check them in your room before the event because Whereby can change its interface.
Use Cam and Mic in the bottom toolbar to turn your devices on or off. For another device, open Settings > Video & Audio.
Use Share to share a tab, window or screen. Choose only the content you intend to show in the browser's capture prompt.
To control entry, open Settings > Room and turn on Locked room. In a locked room, new guests knock before entering.
Close Settings. When a guest knocks, check their name and use Let in if they should join. Respond gives other options, such as rejecting the request.
At the end, open the options for Leave and use the option to end the meeting for all participants. Leaving your own call does not close it for everyone.
Brella does not configure the provider's host controls. For current instructions, use Whereby's Room toolbar, Room lock and knocking and Meeting settings. For recording, see Record and share a breakout room session.
What attendees get inside Brella
Attendees open the room from the Breakout Rooms page (or the name you gave it): Menu > Breakout Rooms in the mobile app, Breakout Rooms in the web app's left menu (or Menu on narrow windows). Selecting a card opens the call inside the app, titled with the room name. In the web app the room uses the full width of the window.
Brella loads the Speaker URL with these presets:
Camera and microphone off at the start. Attendees turn them on with the call controls.
In-call chat on.
Whereby breakout groups on.
Participant list hidden.
The attendee's first and last name from their Brella account as the display name.
Attendees can enter only between the room's start and end time. Outside the hours they see "This room isn't open yet — it opens …" or "This room is closed." People already in the call stay until they leave. The browser or the phone asks for camera and microphone permission the first time; see Resolve breakout room issues.
Invite people from outside Brella
Speakers, guests or sponsors who are not registered for the event can join with the Speaker URL.
Copy Speaker URL from the room's card or edit page. "Speaker URL copied to clipboard!" confirms. The copied address has no
https://at the start.Send it by email or chat.
Opening the Speaker URL directly in a browser joins the room without Brella's presets, and Brella does not fill in the person's name. The URL works at any time until the Whereby room expires, regardless of the hours set in Brella. Share it only with people who need to enter at any time.
To send registered attendees to a room from a session, link the room's app address in the session description instead. See Breakout room best practices.
Limits
One Host URL per room. The dialog says to share it with one person.
The Host URL and Speaker URL do not change when you edit the room. They stop working when the Whereby room expires. Deleting the room in Brella does not expire them.
Moving the event's end date later gives every room a new Host URL and Speaker URL. Attendees who enter from Brella go to the new room; send the new Host URL to the host.
The admin panel has no button to replace a URL. A leaked URL keeps working until the Whereby room expires, even if you delete the room. To give attendees a room the old URL does not reach, create a new room and hide or delete the old one.
