Written by Yusra Mohideen

Before you start

Make sure you have:

  • Your event agenda published on a website or available in a document

  • Access to an AI tool of your choice

  • The Brella agenda CSV template

Important: AI-generated content should always be reviewed before importing it into Brella. Check that all sessions, times, durations, and details are correct.

Step 1: Open your preferred AI tool

You can use any AI assistant that supports text generation, such as:

  • ChatGPT

  • Claude

  • Gemini

  • Microsoft Copilot

Step 2: Copy and paste the prompt

Copy the prompt below and replace the event website URL with your own event agenda URL.

Use the event website agenda to generate an agenda CSV following this format:

Update the CSV following this example/template:
id
external_id
start_date
start_time
duration
reservable
uses_ratings
title
subtitle
location
map_link
networking_area_id
networking_area_name
content
tags
track_id
average_rating
total_ratings

''
2028-11-22,10:00:00,60,FALSE,TRUE,"Welcome to Talent Fair!","","📍 In-person","","","","","","",,,

IMPORTANT:
- Leave id, external_id, and track_id empty.
- Generate one row per agenda item/session.
- Keep the exact column order shown above.
- Format dates as YYYY-MM-DD.
- Format times as HH:MM:SS.
- Duration should be in minutes.
- Use TRUE or FALSE values for reservable and uses_ratings.
- Return the final result as CSV only.

Step 3: Review the generated CSV

Once the AI generates the CSV, review it carefully before importing it into Brella.

Check that:

  • All session titles are correct

  • Dates and times are accurate

  • Session durations are correct

  • Locations and descriptions are included where needed

  • All agenda items are included

Pay extra attention to sessions that:

  • Run at the same time

  • Span multiple days

  • Have unusual time formats

  • Include breaks, networking sessions, or optional activities

Step 4: Save the file as CSV

After reviewing the generated CSV:

  1. Copy the CSV content generated by the AI tool.

  2. Paste it into a spreadsheet tool, such as:

    • Microsoft Excel

    • Google Sheets

    • Numbers

  3. Save or export the file as CSV (.csv).

Step 5: Import the agenda into Brella

Once your CSV file is ready, import it into Brella by following this guide:

Tips for better results

Use source material other than a website

If your agenda is not published online yet, you can upload source files to your AI tool instead, such as:

  • Event programs

  • PDFs

  • Word documents

  • Spreadsheets

Most AI tools can extract agenda information from uploaded files and generate it in the required CSV format.

Provide clear instructions

The more specific your prompt is, the better the result will be. For example, you can include:

  • The event timezone

  • Whether ratings should be enabled

  • Whether sessions should be reservable

  • Any specific location naming format

Troubleshooting

The AI missed some sessions

Ask the AI to check the source again by adding:

Double-check that every session from the agenda is included in the CSV.

The CSV format looks incorrect

Remind the AI to follow the exact structure:

Keep the exact column structure and return the result as valid CSV only.

Dates or times are incorrect

Provide the event timezone and ask the AI to verify all session start times and durations before generating the CSV.

Example:

The event timezone is [ADD TIMEZONE]. Please verify all session start times and durations before generating the CSV.
